SecureMail Outlook Plugin: Address Book

Instructions below ONLY apply to SecureMail, (OUTLOOK PLUGIN ONLY).

In this section, we will go over the following:


Select a Contact from my Address Book

  1. Login to the SecureMail Outlook Plugin
  2. Select the "Secure Mail" tab
  3. Select the "New" icon to compose a message.

  4. Select the "Contacts" Icon located at the top of your new message:

  5. Within SecureMail, each time you send an email to a contact- they will also be saved within your Address Book.  Here you will see any contacts listed which you have either sent an email or received an email from:

  6. You can click directly on the contact listed above to add them within the TO field automatically.
    *Note, to delete this user from the TO: field, select the X to the right of the email/name:

Add a Contact to my Address Book Manually

By default, when you compose a message to a email that is not in our system- once the email is sent, it will add that contact to your address book automatically.  You can also add new contacts manually to your address book, one at a time.  

  1. Login to the SecureMail Outlook Plugin
  2. Select the "Secure Mail" tab
  3. Select the "New" icon to compose a message.

  4. Select the "Contacts" Icon located at the top of your new message:

  5. Select "New Contact" located at the top, right above "Address Book"

  6. For New Users (not in our system):
    1. Enter in the (required) fields for email, first name, last name and suffix (non-required)
    2. Provide a role for this new user within our system (required)
    3. Select the "Next" icon in the top/right corner

    4. Confirm the contact's email in the "Confirm Email Address"
    5. Add at least one phone number (either landline and/or cell)
      *Please note:  The verification system is not compatible with phone trees (automated, menu-driven systems).  If the phone number entered is connected to a phone tree your recipient will NOT be able to verify their identity and view your secure message.
    6. Now select the "Save" icon, located in the upper right corner of this message.

    7. This will save your contact within the "Address Book" to be used for any future emails.

How to Edit a Contact from my Address Book

  1. Login to the SecureMail Outlook Plugin
  2. Select the "Secure Mail" tab
  3. Select the "New" icon to compose a message.

  4. Select the "Contacts" Icon located at the top of your new message:

  5. This will bring you to a list of all contacts within your address book, find the email within the list you would like to edit
  6. To the RIGHT of your contact/email, you can select the "Edit" button

  7. Now you can edit the following fields below by putting your cursor in the fields you want to modify and typing (alphanumeric and special characters are allowed):  
    • First Name
    • Last Name
    • Suffix
  8. Once you're done editing, select the "Update" button to save your changes.  From this point going forward, this contact will display with this new name throughout your SecureMail section.

  9. Additionally, you can "Reset" your changes back to the original contact name
    1. While in your Address Book, select "Edit" on any contact you have modified

    2. Now select the "Reset" option to revert your changes back to the original contact name.

      From here you can do the following:

      1. Select "Cancel" to go back to your newly composed email
      2. Select "New Contact" to add a new contact within your address book
      3. Select any of the existing contacts in your address book, this will add that contact's email within your two field.edit4.png

    3. Once the "Reset" button is selected, this will save your changes back to your address book.

Delete a Contact from my Address Book 

  1. Login to the SecureMail Outlook Plugin
  2. Select the "Secure Mail" tab
  3. Select the "New" icon to compose a message.

  4. Select the "Contacts" Icon located at the top of your new message:

  5. This will bring you to a list of all contacts within your address book, find the email within the list you would like to remove
  6. To the RIGHT of your contact/email, you can select the "Delete" button

  7. A pop-up will ask you to confirm this action, select "OK"

  8. Once you select "OK" the contact will be instantly removed from your list.

Viewing and Restoring Deleted Contacts through your Address Book

In order for the "Show Deleted Contacts" to appear, you must have deleted at least one contact.  If you do NOT see this option, this means you haven't deleted any contacts.

  1. Login to the SecureMail Outlook Plugin
  2. Select the "Secure Mail" tab
  3. Select the "New" icon to compose a message.

  4. Select the "Contacts" Icon located at the top of your new message:

  5. This will bring you to a list of all contacts within your address book below.
    **Note, y
    ou will only see the "Show Deleted Contacts" if you've deleted at least one contact.  
  6. Located in the center top area of your Address Book as seen below, select the checkbox for "Show Deleted Contacts".

  7. Once selected, all deleted items will show with an orange background (in alphabetical order with the rest of the list) as seen below:

  8. You can "Restore" this contact, so it shows in the normal list of your Address Book:
    • While the "Show Deleted Contacts" is selected
    • Go to the deleted contact (with the orange background) and select the "Restore" button to the far right of the contact.
    • This will enable the contact back into your list of contacts which you will see at all times:
